Task Management Audit & Workflow Optimization

Client: Small B2B Services Company (10-person team)
Role: Freelance Project Manager
Focus: Workflow Efficiency • Time Management • Cost Savings

Situation:

When I joined this project, the client, a small but growing service-based business, was experiencing missed deadlines, duplicated tasks, and unclear accountability across their team. They were juggling multiple tools (Google Sheets, Trello, Slack reminders) with no consistent process, and leadership knew they were wasting time but didn’t know where or how.

Task

My goal was to evaluate their current systems, identify areas of friction, and implement a scalable, streamlined solution that could save time and improve visibility across the business.

Action

I started with a full discovery process by interviewing team members, mapping out workflows, and auditing all task management tools in use. From there, I consolidated their systems into a single platform: Asana, customized with automation, reusable templates, and clear tagging.

I created a simple task naming and ownership convention, added visibility through reporting dashboards, and delivered hands-on training to get the team up and running quickly. I also built a quick-start guide to support future onboarding.

Result

  • Reduced tool clutter by 60% and eliminated spreadsheet-based tracking

  • Improved task completion rates by 35% in the first 6 weeks

  • Saved the team an estimated 10–15 hours per week

  • Increased on-time project delivery by 40%

  • Gave leadership greater clarity into team bandwidth and priorities, improving decision-making

Clear systems drive clear outcomes. By optimizing task management and streamlining workflows, teams free up valuable time, reduce burnout, and create space for strategic, high-impact work.
